PAYMENT

Two payment methods are accepted:

1) Credit Card

Credit card is the preferred method of payment and results in an instant confirmation of attendance via email. Accepted credit cards are Visa and MasterCard. All transactions by credit card will appear on your statement as payment to Venue West Conference Services.

2) Bank Transfer

YOUR REGISTRATION IS INCOMPLETE UNTIL YOUR FEES ARE RECEIVED. BANK TRANSFERS MUST BE PROCESSED AS SOON AS REGISTRATION IS SUBMITTED, AND BY 30 JUNE, 2018.

Note, a USD $25.00 fee will be added to your invoice to cover bank transfer fees. Bank Transfer information will be included in the email you will receive upon submission of registration.

 

CONDITIONS OF REGISTRATION

Cancellation Policy
Refunds (less a handling fee of USD $60.00) will be provided for cancellations received in writing by 30 June 2018. Refunds will not be provided for cancellations after this date, however another delegate can be substituted to participate on your behalf.
Requests for cancellations or substitutions should be sent to info@icid2018.org.

Tour Cancellation Policy
Pre-Conference and Technical Tours:

Refunds will be provided for cancellations received in writing by 12 July 2018. Refunds will not be provided after this date, however another delegate can be substituted to participate on your behalf.

Post-Conference Tour:

Refunds will be provided for cancellations received in writing by 22 May 2018. Refunds will not be provided after this date, however another delegate can be substituted to participate on your behalf.

Letter of Invitation

To receive a Letter of Invitation, delegates must first register for the conference. A scanned copy of the Passport must be sent to info@icid2018.org for verification.
In the event that a visa to enter Canada is denied, registration fees less a handling fee of USD $60.00 will be refunded. Refund requests must be made in writing and sent to info@icid2018.org no later than 20 August, 2018. Refund requests received after this date cannot be accepted.

Insurance 

Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the Conference and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the Conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Canada, failure to utilize tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. Venue West cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.
